Job Summary

The Patient Collections Specialist is responsible for managing and collecting outstanding patient balances while providing respectful, compassionate, and professional service. This role focuses on patient billing follow-up, payment arrangements, and account resolution in compliance with healthcare regulations. The position is fully remote and works closely with the billing and customer service teams to ensure accurate patient accounts and positive patient experiences.

Key Responsibilities

Patient Account Follow-Up

  • Contact patients regarding outstanding balances via phone, email, and patient portals.
  • Explain charges, insurance processing, and patient responsibility in a clear and professional manner.
  • Review patient accounts for accuracy prior to collection outreach.
  • Answer patient billing questions and resolve concerns.
     

Payment Processing & Resolution

  • Collect payments and set up payment plans in accordance with clinic policy.
  • Document all patient communications and payment arrangements accurately.
  • Monitor payment plans and follow up on missed or partial payments.
  • Coordinate with billing and denials teams for insurance-related issues affecting patient balances.
     

Compliance & Professionalism

  • Follow HIPAA, Fair Debt Collection Practices Act (FDCPA), and clinic policies.
     
  • Maintain confidentiality of patient financial and health information.
     
  • Use empathetic, non-confrontational communication at all times.
     

Reporting & Collaboration

  • Track patient collection activity and outcomes.
     
  • Escalate accounts as appropriate per clinic policy.
     
  • Provide feedback on common patient billing issues or trends.
     

Required Qualifications

  • High school diploma or equivalent.
     
  • 2+ years of patient billing, medical collections, or healthcare customer service experience.
     
  • Strong understanding of patient responsibility, EOBs, and medical billing statements.
     
  • Excellent verbal and written communication skills.
     
  • Ability to work independently in a remote environment.
     

Preferred Qualifications

  • Experience in outpatient medical or specialty clinic billing.
     
  • Familiarity with Medicare, Medicaid, and commercial insurance processes.
     
  • Bilingual (English/Spanish) a plus.
